Time Zone Meeting Planner
Add the cities on your call to this time zone meeting planner, set everyone's working hours, and see the times that suit the whole group — with daylight saving and half-hour offsets handled.
How to use the planner
- Pick the date. It is the date in the home location, marked Home. Your own time zone is added first.
- Add cities. Search about 190 cities by name or country, or type any IANA zone such as America/Denver.
- Set hours. Working hours default to 09:00–17:00. Tick Acceptable hours for early or late calls someone would still take.
- Choose a slot. Click a window in Best times or a column in the grid, set the length, and nudge it by 15 minutes.
- Send it. Copy the summary, download an .ics file, or copy the share link.
Grid cells are colored and marked ● working, ◐ acceptable or ☾ outside hours. A cell counts only if the whole hour (or half hour) is inside those hours.
Worked example
London, New York and Mumbai on 15 July 2026, everyone working 09:00–17:00. There is no time when all three are at work. Allowing 08:00–20:00 as acceptable gives 2 h 30 min:
| City | Offset | Local time |
|---|---|---|
| London | UTC+1 | 13:00–15:30 |
| New York | UTC−4 | 08:00–10:30 |
| Mumbai | UTC+5:30 | 17:30–20:00 |
That is an early start in New York and an evening call in Mumbai. Rotating the slot week to week shares the inconvenience.
Tips for meetings across many time zones
Start with the widest gap
The two locations furthest apart decide the slot. If they share no working hours, add acceptable hours for them first, or split the group into two calls.
Watch the date
An afternoon in California is the next morning in Asia and Australia. A Friday afternoon in the US is Saturday there. Check the +1 markers before sending.
Recheck around DST changes
North America, Europe and the southern hemisphere change clocks on different dates, so a recurring meeting can shift by an hour for a few weeks. Send invites with an .ics file so calendars adjust.
UTC offsets change through the year
| City | Zone | 15 January 2026 | 15 July 2026 |
|---|---|---|---|
| New York | America/New_York | UTC−5 | UTC−4 |
| London | Europe/London | UTC+0 | UTC+1 |
| Mumbai | Asia/Kolkata | UTC+5:30 | UTC+5:30 |
| Kathmandu | Asia/Kathmandu | UTC+5:45 | UTC+5:45 |
| St. John's | America/St_Johns | UTC−3:30 | UTC−2:30 |
| Adelaide | Australia/Adelaide | UTC+10:30 | UTC+9:30 |
| Sydney | Australia/Sydney | UTC+11 | UTC+10 |
| Chatham Islands | Pacific/Chatham | UTC+13:45 | UTC+12:45 |
In 2026 the US moves its clocks on March 8 and November 1; the UK and EU on March 29 and October 25. For the weeks in between, London is 4 hours ahead of New York in March and 4 in late October, instead of 5.

Checked 14 October 2026.
Frequently asked questions
How do I find a meeting time across time zones?+
Add every city taking part, set each person's working hours, and read the best times list. It ranks windows where everyone is in working hours first, then windows where everyone is at least in their acceptable hours. London and New York share 3 h of a 9-to-5 day in July: 14:00–17:00 in London.
How does the planner handle daylight saving time?+
Each cell is worked out from an exact UTC instant using your browser's time zone database, so the offset in force at that moment is always used. Between March 8 and March 29 2026 the US is on summer time but the UK is not, so London is 4 hours ahead of New York instead of the usual 5. On October 25 London's day is 25 hours long, and the grid shows 25 columns.
What about India, Nepal and other half-hour time zones?+
They work the same way. India is UTC+5:30, Nepal UTC+5:45, Newfoundland UTC−2:30 in summer, and the Chatham Islands UTC+13:45 in January. When London is at 09:00 it is 13:45 in Kathmandu. A grid cell only counts as working hours if the whole cell is inside them, so offset cells aren't over-counted.
What are acceptable hours?+
Times someone would take a call even though it's outside their normal day, such as 8:00 in the morning or 7:00 in the evening. Tick Acceptable hours for a location to set them. The planner uses them only when there's no slot inside everyone's working hours, or to show a longer window.
What do +1 and −1 mean in the grid?+
The local date is one day after (+1) or before (−1) the date in the home location. A thick line and a weekday name mark the column where a location passes midnight.
How do I share a plan?+
Copy the share link. The cities, hours, date and chosen slot are stored in the part of the link after the # sign, which browsers don't send to the server. Opening the link rebuilds the same plan.
How do I add the meeting to my calendar?+
Pick a slot and choose Download .ics. The file stores the start and end in UTC, so Google Calendar, Outlook and Apple Calendar show it at the right local time for each person who opens it.
Does the planner know about weekends and public holidays?+
No. It plans the single date you choose and doesn't know anyone's days off, so check that the date is a working day everywhere — especially across the date line. When it's 09:00 on Monday, October 19 in Sydney, it's 18:00 on Sunday in New York. The grid marks where each location's date changes.
Is GMT the same as UTC?+
For scheduling, yes: GMT and UTC show the same time, and neither changes for daylight saving. The UK is only on GMT in winter, though — in summer London uses BST, which is UTC+1. That's why the planner works with city time zones like Europe/London rather than fixed offsets.
How many locations can I compare, and how long can the meeting be?+
Up to 12 locations. Choose a meeting length of 30 minutes, 45 minutes, 1 hour or 1.5 hours, view the grid hourly or in 30-minute columns, and nudge the chosen slot earlier or later in 15-minute steps. Best times shorter than your meeting are flagged.
Is anything I enter saved or sent?+
No. The planner runs in your browser using its built-in time zone data. Nothing is uploaded, and the plan lives only in the page's link.
